Answering supplier sustainability questionnaires as an exporter
A supplier sustainability questionnaire is a customer's request for your environmental, social and governance data — through EcoVadis, CDP supply chain, a CBAM data request or the customer's own form. The efficient way to answer them is to keep one approved data set — emissions, energy, policies, certificates and product data, each with evidence — and map every questionnaire to it. Exporters that work this way answer faster and give the same numbers to every customer.
Why customers send ESG questionnaires
Your emissions are part of your customers' Scope 3. As more of them report under frameworks such as ESRS, IFRS S2 or BRSR, set supplier engagement targets, or import CBAM goods into the EU, they need data from their suppliers — and they need it to be consistent and defensible. For exporters in India, the Middle East and South-East Asia selling into European and global supply chains, a customer ESG questionnaire is increasingly part of winning and keeping business.
The requests vary in format but overlap heavily in content. That overlap is what makes a single data set possible.
The main supplier sustainability questionnaires
EcoVadis assessment
EcoVadis rates a company's sustainability management system across 21 criteria in four themes: Environment, Labour and Human Rights, Ethics, and Sustainable Procurement. Theme weightings depend on your industry, size and country. Analysts score evidence at three levels — policies, actions and results — and also take account of external news and stakeholder information. Three practical points matter most:
- Claims are credited only when backed by documents — dated, formal policies, procedures, reports and certificates.
- A scorecard is valid for 12 months; reassessment is your choice, usually when it expires.
- Ratings are only carried out with the company's knowledge and participation, typically because a customer has asked for one.
EcoVadis publishes its methodology, including how medals and badges are awarded. Read the current version rather than relying on second-hand score thresholds.
CDP supply chain
Companies that are CDP supply chain members can ask their suppliers to disclose through CDP. The supplier answers CDP's annual questionnaire — the full corporate version or, for eligible smaller companies, the shorter SME version — and the requesting customer can see the response. For 2026, the response window opened in mid-June and the deadline for scored responses fell in mid-September, with later deadlines for unscored responses and amendments. Customers may ask for earlier submission, and CDP's terms, fees and dates change each cycle, so check the current year's guidance.
CBAM data requests
If you export iron and steel, aluminium, cement, fertilisers, hydrogen or electricity to the EU, your importer needs installation-level embedded emissions to prepare its annual CBAM declaration. For goods imported in 2026, that declaration is due by 30 September 2027. The request is technical: production routes, direct and indirect emissions, precursors and verification. The European Commission's communication template is the usual format. See CBAM for Indian steel and aluminium exporters and default values vs actual data.
Customer-specific forms and PCF requests
Many large buyers run their own supplier portals or spreadsheets, and some ask for product carbon footprints for the items you sell them. These usually ask for a subset of what EcoVadis and CDP cover, plus product-level data.
| Request | Main focus | Evidence expected | Frequency |
|---|---|---|---|
| EcoVadis | Management system across environment, labour, ethics, procurement | Policies, procedures, reports, certificates | Scorecard valid 12 months |
| CDP supply chain | Climate, and where requested water and forests: governance, emissions, targets, risks | Inventory, targets, verification statements | Annual disclosure cycle |
| CBAM request | Embedded emissions per installation and good | Monitoring data, calculation, verification | Per importer's declaration needs |
| Customer form or PCF | Company emissions, targets, product footprints | Varies; increasingly third-party verified | Often annual |
Build one data set, answer many questionnaires
Instead of starting each questionnaire from a blank page, maintain a core set of approved data and documents. Most questions in any supplier sustainability questionnaire draw on the same blocks:
- Organisation profile and boundary — legal entities, sites, products, employees, revenue.
- GHG inventory — Scope 1, Scope 2 (location- and market-based) and relevant Scope 3, calculated to the GHG Protocol or ISO 14064-1, with base year and method notes.
- Energy and resources — energy by source, renewable share, water and waste.
- Targets and actions — reduction targets, progress, decarbonisation projects.
- Policies and management systems — environmental, human rights, ethics and procurement policies, with approval dates; certificates such as ISO 14001 or ISO 45001.
- Product and installation data — product carbon footprints and CBAM embedded emissions per installation.
- Assurance — verification statements and their scope.
Keep each item with its owner, date and evidence. Then build an answer library: for each recurring question across EcoVadis, CDP and your main customers' forms, record which data point and document answers it. Next year, most of the work is refreshing the data rather than rewriting answers.
A workflow that keeps answers consistent
- Calendar: list every expected request with its deadline — EcoVadis renewal, CDP window, CBAM data for importers, customer forms.
- Owners: assign each data block to one person — energy to operations, policies to HR or legal, inventory to the sustainability lead.
- Approval: have a second person check figures before they leave the company. Customers compare answers, and verifiers look for a trail.
- One number, everywhere: your Scope 1 figure should be identical in CDP, EcoVadis, the customer's portal and your annual report. If a boundary differs, say so.
- Evidence vault: keep current versions of policies, certificates and reports in one place, with expiry dates.
Common mistakes in customer ESG questionnaires
- Policies without dates or sign-off, which reviewers may not credit.
- Different numbers in different questionnaires because each was prepared by a different person from a different spreadsheet.
- Scope 2 given only one way when the customer needs market-based figures to reflect your renewable electricity.
- Company-level emissions offered where a product footprint was requested, or the reverse.
- Default values sent for CBAM without telling the importer, when actual installation data would cost them less.
- Claims made in a free-text box with nothing attached to support them.
How EKOTRACE helps
EKOTRACE keeps the data behind every supplier sustainability questionnaire in one approved ledger: Scope 1, 2 and 3 inventories, energy and resource data, targets, product carbon footprints and CBAM embedded emissions per installation, each entry with evidence and maker-checker approval. The ESG module maps questions from frameworks including CDP to the same figures, and data collection calendars keep each owner on schedule. Ekobon also offers advisory support for EcoVadis and CBAM. See ESG reporting, CBAM compliance and supplier engagement.
Frequently asked questions
Do we have to complete an EcoVadis assessment if a customer asks?
EcoVadis assessments are voluntary and carried out only with your participation, but customers may make them a condition of doing business. If you have several customers asking for ratings, one valid scorecard can usually be shared with all of them.
What is CDP supply chain?
It is the programme through which CDP member companies ask their suppliers to disclose environmental data via CDP. The supplier completes CDP's annual questionnaire, and requesting customers can view the response.
How do we answer a CBAM data request from an EU customer?
Identify the installation and production route for each good, calculate direct and (where applicable) indirect embedded emissions including precursors, and share them in the Commission's communication template. Actual values need to be verified for use in the definitive period, so keep the monitoring data and calculation trail.
How can a small exporter manage many questionnaires?
Prepare a core data set once — inventory, energy, policies, certificates and product data — and reuse it. A shared calendar, clear owners and an answer library turn each new questionnaire into a mapping exercise rather than a new project.
